    Speed to lead

Speed to Lead, Texting and Patient Follow-Up for Healthcare Practices

Most practices don't lose patients to bad ads. They lose them in the hours after the inquiry, when nobody calls back. I set up the system that answers every new inquiry fast, follows up until it books or says no, and hands your front desk a clear next step, for independent dental implant, bariatric, weight loss and plastic surgery practices in Louisville and Kentucky.

    The Detail

    Who this is for

    • Practices that spend on ads or get steady web inquiries but book fewer consults than they should.
    • Practices where inquiries arrive after hours, on weekends, or while the front desk is with patients.
    • Owners who want to know what happens to every inquiry, not guess.

Not a fit: DSOs, private-equity or hospital-owned groups, chiropractic, urgent care, emergency, primary care or general family practice.

Why speed matters for a practice

Someone asking about full arch implants or bariatric surgery often contacts more than one practice the same evening. The practice that answers first, clearly, gets the conversation. Waiting until the next morning usually means calling someone who has already booked elsewhere. Test it yourself: send your practice an inquiry tonight and see what comes back.

    01 — Deliverables

    What I set up

    • An instant reply to every inquiry: web forms, ad lead forms and missed calls get a text and email back right away, in your practice's name.
    • Missed-call text-back, so a call that goes to voicemail still gets an answer.
    • A follow-up sequence over the next days and weeks for people who don't book on the first reply, stopping as soon as they do.
    • One place to see every inquiry: where it came from, what's been said, and what happens next, for your front desk.
    • Booking links and reminders, so booked consults show up.
    • Tracking to a started case, so you can see which source produced patients, not just leads.
    • An AI receptionist option for calls and chat after hours. AI practice employee

    Business texting and A2P registration

Texting is how most patients prefer to hear from a practice. I set up two-way texting from your practice number, appointment reminders and confirmations, and reactivation texts to past patients who've agreed to hear from you. US carriers require every business to register (A2P 10DLC) before it texts customers. I file and manage your practice's registration with the carriers, including resubmissions if they reject it. Approval usually takes a few weeks. Email replies and missed-call alerts run from day one; text replies switch on as soon as the registration is approved.

    The Process

How the first ninety days work

    1. Weeks 1–2, map and register.

Every way an inquiry reaches you mapped, texting registration filed, messages written.
    2. Weeks 3–6, launch.

Instant replies, missed-call text-back and follow-up live; front desk trained in half an hour.
    3. Weeks 7–12, tighten.

Response times and booking rates measured, messages adjusted, show rate improved.

    What it's measured on

Time from inquiry to first reply, the share of inquiries that book a consult, show rate, and started cases by source.

Speed to lead on its own, or as part of the engine

You can hire me for speed to lead alone; it often pays for itself before you change anything else. In the full engine it sits behind every ad and every page.

    Questions

Email replies and missed-call alerts go out within a minute from day one. Text replies do the same once your texting registration is approved, usually within a few weeks.

Yes. I file your practice's A2P 10DLC registration with the carriers, answer their questions, and resubmit if they reject it. It's registered in your practice's name, so it stays yours.

No. It answers first and keeps the conversation going; your team still books, consults and closes.

Messages are about scheduling, not treatment details. Where patient health information is involved, the tools run under a BAA and messages stay off unsecured channels.

It works alongside most practice management systems. Bookings and inquiries can be passed to your system or handled in the follow-up tool, depending on what yours allows.

They get a short sequence of follow-ups over the following weeks, then stop. Anyone who says no or stop is removed immediately.

You'll see every inquiry, how fast it was answered and whether it booked, in one place, and a monthly report by source.
